Job Description:

1. Responsible for tracking and managing new courses, revised courses, new and revised curricula and creating and maintaining required forms as needed and ensuring the information is correct in the College Catalog.
2. Assist the dean in editing and monitoring the Master Schedule, including the addition of new courses, changing rooms, canceling courses, changing days and or times and/or deleting courses.
3. Collaborate with Chairs, Coordinators, and Directors in the assignment of instructor names and the maintenance of faculty screens in Colleague.
4. Monitor teaching load assignments of faculty, adjuncts and teaching administrators in Colleague.
5. Assist the dean in coordinating the evaluation process for adjuncts and faculty in the division.
6. Coordinate and organize the adjunct Offer of Employment contracts. Maintain master data file for all adjunct faculty members.
7. Track and manage adjunct e-safety compliance training and payments.
8. Collaborate with payroll to facilitate special payments and load reductions for faculty and staff.
9. Process Coordinator payment forms and overload revisions for payroll accuracy.
10. Meet with students who have concerns and advise as necessary.
11. Perform all general office and filing duties.
12. Assist in the typing and running of reports for the Division.
13. Schedule meetings as needed and keep the Dean's calendar.
14. Assist as needed during Commencement and Honors Convocation.
15. Process course waivers and student graduation packets.
16. Run budget reports, submit purchase orders, and monitor budget line item balances for division personnel.
17. Assist with the preparation of the agenda for the Chairs & Coordinators and other Division meetings. Attend Chairs & Coordinators and other Division meetings; take and publish the minutes as required by academic governance timelines.
18. Interface with all College offices and other Dean's offices as needed to ensure smooth operation and communication.
19. Act as point person between the Division and Academic Affairs for contracts and affiliation agreements.
20. Prepare monthly Highlights for the Division and submit on the scheduled due date to the Executive Vice President of Academic and Student Affairs office each month.
21. Facilitate professional development for divisional/departmental secretaries.
22. Coordinate schedules to insure division secretarial coverage.
23. Attend all federally or NJ State mandated training to include, but not limited to, Right-To-Know and Blood Borne Pathogens.
24. Comply with all safety, fire and smoking regulations.
25. Complete all mandatory compliance and safety training as scheduled by Human Resources.
26. Perform all other duties as assigned.

Minimum Qualifications:

1. Associate's Degree or equivalent college credits.
2. Demonstrated proficiency with Datatel's Colleague Student Information System & College's purchasing system.
3. Proficiency in the use of the Microsoft Office suite of software packages.
4. Experience in data base management, data analysis, and report writing.
5. Demonstrated strong organizational skills.
6. Demonstrated proficiency in multitasking and management of multiple projects.
7. Demonstrated proficiency in working independently.
8. Demonstrated excellence in communication skills.
