Administrative CoordinatorAbout the OpportunityThe Administrative Coordinator (AC) position is a multi-faceted role that supports all employees on the Seattle Campus as well as provides campus-wide operational support. As the point-of-contact for onboarding, the AC enables a smooth transition for new employees onto campus, providing new employees with support before, during, and after their first day as well as coordinating with hiring managers across the university to streamline the onboarding process. By liaising with central HR and as the point person for Workday, the AC supports existing employees in resolving HR operational issues efficiently. On a broader, operational level, the AC supports the day-to-day administrative needs of the Seattle campus by ensuring appropriate staffing during operational hours and managing the part-time operations team members and student workers to provide a pool of resources available for all campus employees. The AC also serves as a central point of contact for event coordination, ensuring that key event information is available to all employees. Additionally, this role develops and maintains Seattle operations online platforms, while continuing to identify additional tools and resources that will strengthen these offerings The AC collaborates with Student Affairs and the the Dean's Office to continuously improve virtual orientation and training courses, related documents, and operational procedures for campus staff and faculty.
Responsibilities: - Coordinate administrative support to campus and college teams by analyzing incoming requests, assigning appropriate staffing, and ensuring all requests are completed on time and to the requestor's satisfaction.
- Recruit, hire, train, and manage part-time (non-student) workers and student assistants to provide building reception, administrative support, and event management support to the Seattle campus.
- Compose weekly campus newsletter and assists in preparation of other operations communications as required.
- Create and manage event planning processes and systems to ensure effective coordination of events across campus departments and colleges.
- Serve as point of contact for HR-related processes including the new Workday platform. Liaise with central HR as required to build and maintain knowledge of university policies and procedures.
- Develop, execute communication plans for campus-specific HR updates.
- Lead the onboarding and offboarding process for all employees working at the Seattle campus.
- Develop, maintain, and distribute the New Employee Welcome Guide.
- Collaborate with hiring managers across the network to create onboarding schedules for faculty and staff based on the Seattle campus.
- Support institutional requirements for I-9 processing.
- Maintain employee information for staff directory.
- Manage the Seattle Campus HR page on the campus SharePoint Hub.
- Build and maintain campus-specific online resources to support employee onboarding and HR functions. Currently this includes SharePoint and Canvas resources.
- Research new technologies that support improvements of existing operational systems and processes.
- In partnership with the Dean's Office and Student Affairs, develop and maintain campus orientation courses.
- Build and maintain training content and process for Operations Department
Qualifications:Bachelor's degree preferred with two to five years of progressively responsible administrative support experience in a fast-paced and service-oriented environment. Ability to work in a highly flexible and innovative environment with an expanding role and shifting responsibilities. Strong interpersonal and written communication skills (including solid writing and proofreading skills). High degree of diplomacy, customer service and organizational skills required. Demonstrated ability to manage multiple tasks simultaneously, find creative solutions to challenges, act with discretion, effectively adapt to change. Willingness to be pro-active, take initiative and ownership. Sound judgment and ability to work with highly visible and confidential matters is essential. Demonstrated ability to lead small teams. High degree of proficiency with MS Office Suite, experience with design programs such as the Adobe Suite is preferred. Fluency with PCs, websites and database management. Ability to quickly learn and embrace new technologies and tools.
