1. Oversee Space Reservations. Manage the reservation of all Kryzsko Commons Student Union and adjacent outdoor spaces particularly the Kryzsko Courtyard; and Gazebo. Serve as a knowledge expert in the campus room scheduling software (EMS) for the Student Union. Participate in event planning by meeting with internal and external customers to determine event needs, communicate building policies and event support amenities, and process all requests for space utilization. Ensure all event details are accurately reflected in the scheduling software. Properly communicate expectations with customers and needs with operations staff. Collaborate with the Senior Associate Registrar to make recommendations on configurations within the EMS software.
2. Coordinate Event Management.Maintain inventory and condition of all resources and A/V technology in the Student Union to effectively plan and support customers and their events. Provide training and operational and technical assistance to equipment users for events. Ensure relevant charges are billed back to event sponsor. Complete room diagraming for events through the Social Tables software and share proposed diagrams with customers and final diagrams with the operations staff. Collaborate with Associate Director for Operations on scheduling, set-up, operation and tear-down of Student Union audio-visual and sound reinforcement equipment. Resolve any issues that may arise over set-ups, reservations, etc. Maintain a presence at high profile events. Serve as liaison with existing Student Union vendors.
3. Supervise Student Employees and Support the Student Union Resource Center. Hire, train, support and supervise student event management students who assist with communication and planning around events. Maintain understanding of and help develop policies and procedures for the Student Union Resource Center located in the Student Activity Center in Kryzsko Commons. This area allocates resources such as recreation equipment, bike rentals and Warrior Esports Lounge time and peripherals. This is the information center for campus and therefore this person will be a direct resource to the student Building Managers who support the operations of the Student Union.
4. Ticketing Management. This position will oversee the Student Union ticketing platform and set-up, configure and manage events and merchandise for sale. This may include Family Weekend registration, concerts and other entertainment events, Homecoming Merchandise, speakers, and more. This position will manage tickets for the Performing Arts Center 4-8 times per year in collaboration with the Theater and Dance Department. They will reconcile sales with the Business Office.
5. Student Union & Activities Collaboration. Participate as a part of the greater Student Union & Activities staff team and utilize a student development approach to working with students, student employees and volunteers to develop a customer service focused environment. Work cooperatively with staff and students on projects, participate in policy formation and review for the department, support and attend departmental and campus programs.
6. Perform other duties as assigned that support the University, Student Life and Development division, and departmental priorities and initiatives including professional development, campus committee participation and assume duties of the associate director of student activities in their absence.
Working Conditions
- Periodic long workdays when events are occurring.
- Some overnight travel for training and development.
Physical Effort
- Must be able to load, unload, carry and set up materials at various event sites.
- Light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force
frequently, and/or a negligible amount of force constantly to move objects.
Required Qualifications:
Minimum Qualifications:
- Bachelor's Degree
- Two (2) years of experience working with professional guest or customer service-related relations, event management, event planning, project coordination, student development, or student activities.
Preferred Qualifications:

- Master's degree in Higher Education, Student Development, Counseling, or related field.
- Demonstrated experience with event and meeting scheduling.
- Knowledge of Audio/Visual equipment.
- Knowledge of student development theory, higher education administration, student activities and related programs.
- Experience working with students and student organizations.
- Demonstrated interpersonal skills, conflict mediation, organization, and problem-solving skills.
- Demonstrated experience in business procedures, project planning and problem-solving.
- Experience working with culturally diverse teams.
- Strong oral, written interpersonal and electronic communication skills sufficient to prepare messages and materials for diverse audiences and clearly explain, discuss, and present.
- Experience in effectively and efficiently utilizing computers to conduct business (i.e.: Microsoft Office suite, database, query creation and reporting software, computerized event scheduling, and web application software).
