https://www.csusb.edu/mpa. Job Summary Under the general supervision of the Public Administration Department Chair, provide day-to-day administrative support of the Public Administration Department to the Public Administration Administrative Analyst and to the Department Chair.
Typical responsibilities include, but are not limited to:Support for Department Program Operations:Assist in supporting the general program operations of the department. Process/maintain student files, maintain MPA Student and Applicant databases, provide enrollment permissions, and oversee student service indicators. Handle textbook orders each term. Process office documents and program forms.
Marketing and PublicityPrepare variety of brochures and flyers for the department. Prepare advertisements for regional and national publications, conferences and media outlets. Interact with Office of Strategic Communication and external customers to ensure these efforts meet both University and external customer specifications. Serve as a content editor for the Department of Public Administration website and social media platforms (i.e. Twitter, Facebook, etc.). Assist with coordinating MPA marketing and respond to website-based inquiries about the MPA program.
Events CoordinationCoordinate a number of recurring and one-time PA events including, but not limited to: Department Receptions, Department Retreats, Pi Alpha Alpha Induction Ceremonies, PA Advisory Board Meetings, Commencement Receptions, and Special PA Programs. Contact and make arrangements with hotels, caterers, SMSU, UEC, Events Scheduling, Sodexo, PDC, etc. Make arrangements for guest speakers, special guests, potential new hires, etc.; secure and disseminate maps and parking permits.
Alumni ContactFacilitate and maintain relationships with MPA alumni. Maintain an alumni data base. Identify and recruit past alumni. Produce bi-annual newsletters. Coordinate MPA alumni events.
Reception DutiesWhen needed, assist faculty, staff, and students that come into the PA office, answer/direct phone calls, assist with coordination of conference room calendar. Assist with data gathering and distribution of faculty office hours and syllabi each term.
Events Attendance and Information Session CoordinationAttend College fairs, Grad Days, and other events to provide information to students interested in the Public Administration programs. Coordinate and conduct MPA information sessions.
Employment Status: Full-time, Temporary, 'Non-Exempt' position (with the possibility of converting to permanent).
Application Review Deadline: This position will remain open until filled. The initial review of applications will begin on February 16, 2022.
Work Schedule - Monday through Friday from 8:00 am to 5:00 pm. Some evenings and weekend hours may be required.
Key Qualifications - Experience to be fully functional in all technical aspects of work assignments.
- Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
- Thorough knowledge of English grammar, punctuation, and spelling.
- Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
- Ability to independently handle multiple work unit priorities and projects.
- Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
- Working knowledge of budget policies and procedures.
- Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
- Ability to draft and compose correspondence and standard reports.
- Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.
Education and Experience:
- High School diploma or its equivalent AND three years of progressively responsible experience in general office clerical or secretarial work or the equivalent.
Preferred Qualifications - Administrative support work experience within Higher Education.
- Proficient in MS Office Suite.
- Ability to multi-task and meet deadlines.
- Ability to communicate effectively both in writing and verbally.
- Excellent interpersonal skills.
Salary:Anticipated Hiring Range: $3,276 per month
Classification Salary Range: $3,276 - $5,148 per month
