Job Description:
- Collaborate with Senior Associate Director of Occupancy & Administration on undergraduate housing assignment processes, including first-year, returning and transfer students, and timeline for each.
- Develop and execute marketing and communication strategies to support housing assignment processes, including email, print, digital and social media, website, and in-person events.
- Coordinate room change, break housing and end-of-year move out processes for resident students through direct communication and indirect outreach with Housing & Residence Life staff.
- Responsible for on-campus housing billing, including coordination with Bursarâ™s Office to ensure billing information is received in a timely and accurate manner.
- Oversee the management, operation and use of StarRez housing management solution and student-facing portal with the Senior Associate Director of Occupancy & Administration and the Assistant Director of Housing Technology, including set-up of processes, provisioning/deprovisioning users, data management and integrity and reporting.
- Serve as member of a team responsible for training Housing & Residence Life staff on the use of StarRez to enable effective utilization of the system, access to information and response to inquiries.
- Serve as a point of contact for Housing & Residence Life for Persona & CBORD card access systems. Troubleshoot and resolve resident student and staff card access issues. Mitigate risk for University by regularly reviewing card access permissions, running access reports and adjusting access as needed.
- Generate quarterly occupancy statistics and other reports as needed to support housing assignment operations and needs of internal and external campus partners.
- In conjunction with the Senior Associate Director of Occupancy & Administration, regularly review housing assignment processes and procedures and propose opportunities for improvement to best support resident students and improve operational efficiency.
- Investigate and respond to inquiries, concerns and complaints from students, parents/guardians and campus partners in a manner that provides accurate information, resolves issues in accordance with department policies and procedures and provides rationale for decisions.
- Lead special projects (i.e. benchmarking, data collection, etc.) as needed and directed by Senior Associate Director of Occupancy & Administration.
- Develop and maintain positive relationships with Campus and Student Life, Dean of Students in the College, Department of Safety & Security, Admissions, Bursarâ™s Office, UChicago Dining, StarRez, Capstone On-Campus Management and other internal and external campus partners.
- Serve in after-hours, on-call duty rotation with Senior Associate Director of Occupancy & Administration, for providing information and support to other Housing & Residence Life staff during after-hours crisis and emergency situations.
- Responsible for training office staff on office procedures and compliance protocols. Coordinates special projects.
- Researches and analyzes data to create reports, and may create other reports for grants and contracts.
- Performs other related work as needed.
Preferred Qualifications
Education:
- Masterâ™s degree in higher education administration, student affairs, college student development or college student personnel desirable.
Experience:
- Professional work experience in residential life, specifically related to housing assignments, operations or system management.
- Demonstrated experience working with StarRez, including StarRez Web, PortalX and complex report writing.
