Job Description: Reporting to the Department Chair, the successful candidate will be a motivated and capable individual to assist in managing the vibrant Computer Science Department. The position requires someone with excellent computer, social media, data management and analytical skills; solid communication and academic support abilities; strong customer service orientation; and an ability to multi-task, meet deadlines, and problem solve. It also requires learning and adapting to changing technical needs of the department and the position. Previous experience in an academic setting and technology support desired. The ideal candidate will be knowledgeable about computer science education and research, aiding students in their career trajectories and faculty in their teaching and scholarly missions.
The Department Manager also manages the day-to-day operations of the Computer Science Department by providing administrative support to the Chair and Departmental faculty.
Department Management and Planning
Assist Department Chair in the long-term planning and implementation of nearly all aspects of departmental operations, including academics, budget, and space, and support faculty teaching:
Academics:
- Organize and analyze student course enrollment records, project and assess enrollment and curricular needs, provide future course offering suggestions to the faculty; regularly review websites and social media pages of peer and aspiring departments and disciplinary professional organizations, collect academic information (e.g. new programs and courses, grant trends), and provide reports to the faculty; update academic catalog pages related to the department every year, work with the Registrar's office on finalizing department course schedules and classroom assignments every semester
Budget:
- Assist Department Chair in the preparation of annual budget request; carry out and monitor departmental spending; assist faculty with individual faculty grant and startup accounts; and supervise and manage all departmental student payroll.
- Space: Ensure departmental space needs, including faculty research labs, are quantified and accurate; assist Department Chair in preparing space requests; and manage the usage of the available space.
Faculty teaching:
- Assist the faculty in ordering parts and assembling hardware and software systems for their courses, and provide logistical support to all course related needs and events
Faculty Actions Management
- Exercise consistent prudence and act with discretion in the handling of potentially confidential matters, such as tenure and promotion cases and new faculty hiring. Handle confidential information and sensitive inquiries using the highest level of discretion and tact in all aspects of the role.
- Manage all Faculty Actions responsibilities and monitor all deadlines. Specifically, assist the Chair on all tasks related to new faculty searches, interviewing faculty candidates, and onboarding of new faculty hires. Assemble and submit all departmental appointment paperwork associated with full-time faculty and part-time faculty. Track and update records pertaining to all faculty leaves and sabbatical/leave eligibilities. Submit all leave and sabbatical requests.
Student Services
- Support the delivery of services to the students, including but not limited to assistance to course related student needs.
- Create, initiate, and execute regularly occurring CS-related student programming and events that introduce students to the CS community, opportunities, and breadth of possible experiences. Publicize external CS-related opportunities such as CS DEI conferences, Hackathons, CS broadening initiatives like K-12 outreach and community service programs, and Research Experience for Undergraduates (REU) opportunities. Develop and maintain online resources.
Career Coaching and External Partnership
- In collaboration with Career Connections Center (CCC), advertise career opportunities to the students, actively recruit students to apply, mentor students in developing competitive application materials, develop and run co-curricular programming, and facilitate communication between students and CCC. Serve as departmental liaison to faculty, staff, and students for the Handshake platform.
- Create and maintain alumni record tracking system, including post-graduate information and job placements. Partner with newly-created Computer Science alumni association.
Admissions and Majors/Minors Recruitment
- Collaborate with Admissions and Dean of the College on recruiting events, and organize departmental informational open houses for interested students. Develop, execute, and maintain recruiting materials and advertising strategies for prospective and current Clark students.
- Correspond with prospective students, applicants, potential majors/minors, and others seeking information on computer science programs, professional opportunities and student activities.
Technical and Social Media Communications
- Develop and execute communication strategies, designed to attract, influence and inform targeted audiences about the Department of Computer Science at Clark University; develop targeted communications to recruit academically talented students; work closely with Marketing and Communications, faculty, and student clubs on content for all communications, publications, surveys, and social media. Keep social media presence active and up to date.
- Create and distribute media and content across all platforms, including photos, website content, and articles. Gather content, create, and regularly distribute departmental newsletters.
Job Requirements:
- Bachelor's degree required
- Familiarity with computer science or a related discipline preferred.
- Experience preferred in higher education, technical communication and administration support
- Strong attention to detail, critical thinking skills, ability to make decisions and have a proactive attitude in resolving problems and issues.
- Excellent verbal and written communication, interpersonal, time management, problem solving, organizational, and customer service skills.
- Ability to quickly learn and adapt to university's information systems, social media platforms, and data and information systems.
- Demonstrated ability to work independently, collaboratively, and across teams.
- Prior experience working with and contributing to a diverse workplace with the ability to interact with a broad range of constituents on campus.
