The UMSI Engaged Learning Office (ELO) is made up of a team of engaged learning specialists and enthusiasts who create, manage, and assess student opportunities, external partnerships, and campus collaborations. Reporting to the Associate Director of the Engaged Learning Office, the External Engagement Coordinator will coordinate the day-to-day of the School’s activities related to the engagement of external clients in a wide range of School of Information courses and programs. This includes outreach, communication, systems organization, and event planning while engaging with multiple stakeholders and tracking and documenting processes and information.

Outreach and Communication
Contribute to external strategic messaging for 20+ client based courses and programs; communicate with clients via email, phone, Zoom, or in-person
Follow up with clients in email and after client meetings and keeping a record of communications; coordinate the client-based course (CBC) calendar and scheduling client meetings
Assist with developing client presentations and promotional materials; maintain and updating CBC website and other resources; draft and send client newsletter 3-4 times per year
Assist the Associate Director in presenting to client based courses about ethical client engagement
Process Coordination and Project Management
Maintain CBC database of contacts, organizations, and projects; record and update the process coordination and project management process
Develop project leads into proposals based on course/program learning objectives; track project proposals and goal progress through the recruitment cycle
Keep up-to-date project spreadsheets for faculty and program managers; tracking Non-Disclosure Agreements (NDAs), and financials
Finalize projects to send to faculty before each course/program begins
Faculty and Program Manager Engagement
Works with identified faculty and program managers to determine client needs for individual courses and to develop resources to support the recruitment of clients.
Arranges meetings, prepares documentation, and ensures the evaluation of each course or program.
Leads and executes the plan for ELO’s biannual student exposition events and preparation info sessions for students.
Tracks registrations, facilitates information sessions, plans and communicates event details to external constituents, collaborates with UMSI Marketing and Communications on event promotion, and coordinates logistics such asspace (virtual and/or in-person), food, and invitations and RSVPs.
Engagement with Collaborators
Collaborate with the Career Development Office’s (CDO) Employer Relations Coordinator
Participate in the U-M External Engagement Group
Present about UMSI CBCs to campus and community partners
High school diploma required, some college experience preferred
Ability to manage multiple, competing duties with a high degree of attention to detail
Demonstrated excellent interpersonal and communication skills with the ability to build relationships with a diverse range of people from various industries and levels, and a diverse population of students, staff, and faculty.
Strong organizational skills with the demonstrated ability to move projects forward, follow up with external stakeholders as needed, and follow through with tasks independently
Experience working with a wide range of technology, including proficiency with Microsoft Office Suite Google Apps products and managing data in complex databases
Exercise initiative as a critical member of a small team; strong desire to contribute to a developing team in the novel field of engaged learning.
Advanced degree or certification in a related field
Minimum of 2 years demonstrated administrative experience in a related role requiring timeliness, customer service, organization, prioritization.
Ability to confidently and fluently communicate with academics and external constituents in technical roles and organizations
Experience managing marketing campaigns and external communications
Demonstrated experience with collaborative cloud based software and project management technologies such as Airtable and Salesforce
Knowledge of University of Michigan policies and procedures
