Colleges, Housing and Educational Services (CHES) is a multi-funded organization within the Business and Administrative Services (BAS) division at the University of California (UC) Santa Cruz. CHES provides leadership in the areas of college student life and residential services, housing services, facilities, employee housing and capital planning, dining services, conference services, early education services, the Bay Tree Bookstore, ID Card Services, and business and financial analysis for these areas. Through these units, educational and developmental programs and services are offered to all members of the campus community including students, faculty, staff, children and external constituents.
Within CHES, the Bay Tree Bookstore is a self-supporting Auxiliary Enterprise, whose mission is to provide the campus community with access to print, digital, and rental course materials, emblematic apparel and gifts, school and office supplies, and related materials and services that complement the academic environment and support the diverse needs of the campus community..
Under the general supervision of the Bookstore Director, the Course Material Strategist, is responsible for managing all aspects of the day-to-day relationship between the UCSC faculty and the campus' virtual course material provider. The position will be responsible for communication strategies within the UCSC Faculty and Academic Departments regarding the ordering, monitoring, and updating of course materials across each College; including working with faculty for a timely and accurate determination of course requirements. The Course Material Strategist is expected to be able to advise on, and implement, changes due to course material trends.
Specifically, this position performs a broad spectrum of functions related to the overall management of course materials including, but not limited to: customer service, communication, data entry, analysis, and planning. This position works to develop relationships with faculty, academic departments, and students by providing leadership within the area of the course materials program.
The Course Material Strategist must also demonstrate and possess a high standard of work, organization, prioritization, and pay close attention to detail.
Salary Information: $70,000 - $90,000 / annually. Salary commensurate with skills, qualifications and experience.

Oversees the campus-wide adoption process for course materials; including new, used, digital, rental, and inclusive access textbooks. Coordinates adoption review between faculty and the virtual course material provider. Communicates and manages the course material program between UCSC and the virtual course material provider. Works with key campus stakeholders to create dynamic course material strategies.
Visits academic departments regularly to ensure high visibility and connection between UCSC and the virtual course material provider. Provides outstanding customer service to faculty, students, and departmental staff. Establishes and maintains campus and faculty relationships to ensure timely submission of course requirements.
Resolves academic course material issues using problem-solving skills and a professional client service awareness. Provides support to faculty when coordinating with publishers to identify appropriate course materials.
In conjunction with UCSC and the virtual course material provider, develops appropriate business plans to incorporate new technologies and distribution channels into the process of course material acquisition and sales. Cultivates ongoing relationships with the virtual course material provider, publishers, distributors, and UCSC stakeholders.
Maintains the highest level of customer service to UC Santa Cruz's student, staff, and faculty populations, while being cognizant of UCSC's efforts in offering the lowest cost and broadest content access to students. Will review and provide recommendation into the course material pricing policies.
Assists in developing, monitoring, and achieving strategic and financial goals for the course material program. Monitors and analyzes results and recommends action including revision of plans.
Makes every reasonable effort to ensure all students have timely access to all course materials and to inform instructors of potential course material problems.
Monitors and communicates with UCSC and the virtual course material provider on sales, returns, and adoption and buyback data. Presents financial reports to UCSC Administration, Faculty, and Academic departments on the status of faculty orders including adoption data, customer sales, low-cost content, OER materials, new editions, etc.
Keeps abreast of industry standards and higher education trends and developments. Is knowledgeable about changing college and university coursebook developments, new marketing ideas, and changes evolving throughout the general course material industry. Maintains current knowledge of alternative platforms and the associated solutions available to UCSC customers.
Assists in the development, execution, and maintenance of course material communication and marketing plans directed towards students, faculty, and staff. Facilitates marketing and customer service to increase engagement and utilization with the online course material eCommerce site. Coordinates marketing efforts to promote retail opportunities within the online course material eCommerce site. In conjunction with UCSC and the virtual course material provider, approves of the content of email, text or written communication that go out to students, staff, and faculty regarding coursebook and promotional materials.
In cooperation with the UCSC Library, maintains an updated inventory of all OER materials, and other learning resources. Coordinates with the UCSC Library for additional academic resource materials for courses. Promotes faculty adopted free OER and OER + services and assists in the integration of those services into the virtual course material provider's platform and UCSC's LMS.
Supports course material efforts through the virtual course material provider's helpdesk/troubleshooting system, including regular meetings with faculty and academic departments to improve efficiencies and improve collaboration.
Works with UCSC and the virtual course material provider to help ensure UCSC follows the Higher Education Opportunity Act (HEOA) and all other relevant state, federal, and local laws, rules, and regulations.
In conjunction with the virtual course material provider, will develop and support an inclusive access program which will be integrated into UCSC's LMS system to offer student's course materials by the first day of class.
Coaches and communicates with the store team about course materials and course material services. Shares technical knowledge and provides recommendations about ways to connect customers with the right solutions or products.
40% - Course Material Operations Administrative Support/Office Management/Student Supervision
Oversees adherence to the textbook timeline of adopting, purchasing, and selling of course materials to ensure timeliness and compliance with UCSC and the virtual course material provider guidelines. Manages timelines for course material adoptions and materials to maximize student engagement.
Coordinates with faculty and academic departments to acquire course material information and resolve problems. Advises the campus partner on ordering decisions based on enrollments, previous and current term sales expectations, knowledge of publisher's policies, and other factors. Communicates with publishers, faculty, and the virtual course material provider on forthcoming editions, changes, and out-of-stock textbooks. Notifies all appropriate stakeholders when course material changes are known.
Reviews and approves faculty adoption content and sales estimates. Collects and edits course adoption information into the virtual course material providers platform. Resolves discrepancies, coordinates change requests, and confirms textbook selection. Analyzes course adoption information for purchasing and buyback decisions. Determines desired quantities for each textbook; considering such factors as sales histories and course enrollments.
Coordinates faculty custom course materials (readers) procurement, pricing, and distribution within the virtual course material provider's platform.
Supports training for faculty and students regarding course material adoption, acquisition, purchasing, and usage.
Works with the virtual course material provider's dedicated account manager to handle all questions and concerns.
Partners with UCSC's student services (student accounts) and financial aid departments to incorporate their goals into the virtual course material program.
May supervise student employees.
Bachelor's degree in related area and / or equivalent experience / training.
Demonstrated experience and significant familiarity with the course material management of a medium to large college or university; with an emphasis on the oversight of all elements relating to a successful course material program. Knowledge of academia, with significant years of working experience in higher education retail.
Proficiency in supporting faculty and academic departments by relating easily to others and building rapport and collaborative relationships. Displays a strong cooperative skillset suitable to effectively represent the course material program while supporting the success of other campus store departments and the campus store overall
Demonstrate excellent interpersonal, organizational, written, oral communication, and customer service skills to work in partnership with the virtual course material provider, faculty, students, and additional campus stakeholders.
