To provide operational and administrative support for (CPS) Counseling and Psychological Service to facilitate the delivery of direct mental health services to MSMU students.
Schedule counseling center appointments for MSMU students with professional staff for counseling and psychiatric services. Provide a warm presence at the front desk when greeting students in person or on the phone.
Coordinate interdepartmental and intradepartmental communications; receive and route telephone calls; distribute memos and notices; facilitate written communications with students, vendors, providers and others; and coordinate mail delivery and collection.
Provide information to students regarding mental health educational programming. Assist in coordination of mental health and Title IX programs to first year seminars.
Maintain budget records, process petty cash requests, and assist with check requests for Counseling and Psychological Services
Organize and schedule facilities for counseling educational programming and outreach programs (e.g. rooms, set-up, food services, vendors, presenter parking and media equipment).
Be a member of the MSMU Emergency Response Team and help to facilitate responses to disasters, emergencies, etc.
At the front desk, respond to walk-in mental health crises with care, conduct initial screening, and alert professional staff of crisis situation.
General office support for CPS includes copying, coordinating work requests to Facilities Management, transactions with the Business Office, requests to OIT, ordering supplies, mail services and graphics dept. Orient new staff members to office procedures.
Attend department team meetings as requested by CPS. Attend and participate in All-Staff Student Affairs meetings.
As assigned, work at the front desk at Doheny CPS to cover phones and scheduling.
Perform other job-related duties, as assigned.
Other Duties & Responsibilities:
Assist with public relations activities and publish fliers. Assist with the creation of bulletin boards for CPS. Strong understanding of the use of Social Media and support for professional staff, include posting.
Interact with off-campus vendors in facilitating the delivery of support services and supplies.
Serve as an interdepartmental and intercampus liaison within the College community.
Assist with educational programming development and the planning of promotional activities for CPS outreach events.
Represent CPS at assigned college meetings or events when requested.
Update materials regularly such as referrals, resources and handouts.
May be re-assigned or asked to work with other departments based on need due to COVID and other emergency needs.
Help support and cover the Chalon front office for Student Health Services when the Health Education Coordinator is out due to illness, vacation or essential college needs or business.
Excellent working knowledge of office procedures and appointment scheduling.
Strong working knowledge in the use of general office equipment and ordering supplies.
Working knowledge of bookkeeping.
Good working knowledge of word processing software (Windows), desktop publishing, graphics and database management.
Ability to use Social Media to advertise outreach events and weekly announcements and activities relevant to CPS.
Desired: knowledge of mental health education, women's issues, and clinical terminology.
