The Institute for Computational Medicine seeks a Senior Academic Program Coordinator who will administer growing academic activities in the Institute for Computational Medicine, a dynamic interdivisional institute located on the Homewood campus. Reporting to the Administrative Manager, the Sr. Academic Program Coordinator plans, develops, and staff's programs and events, supports academic programs, and markets the institute's programs through social media, websites, and other communications.
The successful candidate will possess excellent organizational skills, communication skills, and diplomacy. The Senior Academic Program Coordinator is expected to learn and possess extensive knowledge about academic programs, policies, procedures, and student support services. May perform duties of a sensitive and confidential nature.
Position requires creativity, judgment, attention to detail, and ability to problem solve. Candidate must be professional, approachable, and team-oriented.
Specific Duties & Responsibilities:
Serve as point of contact for institute's undergraduate minor program. Respond to inquiries by email, videoconference, and in person. Advise students on policies and procedures, and track student progress toward completion of program requirements. Maintain program content on websites, print media, and university catalogs. Provide data, guidance and support to program faculty.
Administer institute internship programs for visiting students. Cultivate ongoing relationships with local partner institutions. Develop and disseminate marketing and informational materials online and in print. Maintain application system and serve as liaison between applicants and the admissions committee.
Administer federally-supported predoctoral training program. Maintain and enhance processes, procedures, and systems to ensure trainee and mentor accountability. Prepare and monitor appointments and terminations through NIH online systems. Maintain trainee data and provide content for annual progress reports. Collect and analyze program surveys; Provide results and make recommendations for improvements to faculty leadership.
Represent the institute and its academic program at school- and university-wide meetings, and communicate pertinent information to institute leadership.
Interface with central academic offices and dean's office to hire visiting students, undergraduate researchers, and postdoctoral fellows. Assist with visa process as required.
Provide consistent and ongoing communication and support to students in all academic programs. Craft and disseminate information to trainees, potential trainees, and colleagues at collaborating institutions.
Plan and attend two or more annual events which feature student presentations and programmatic discussions. Responsibilities include, but are not limited to, organizing student presenters, securing venues and catering, developing agendas and brochures, and event marketing.
Manage budgets related to academic events and the internship program. Use independent judgment to effectively allocate resources.
Create and maintain website content related to institute programs and faculty/student achievements using WordPress. Compose and design electronic and print materials such as announcements, newsletters, flyers and brochures. Edit own work and the work of others, to include re-writing when necessary.
Perform other duties as assigned.
Minimum Qualifications (Mandatory):
High School Diploma/GED.
Five years progressively responsible administrative/academic experience.
Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula
Bachelor's degree preferred
Experience working in higher education.
Experience with Integrated Student Information System, SAP, and/or Blackboard
Special Knowledge, Skills & Abilities:
Excellent computer skills with sound knowledge of MS Office Suite and database management.
Desire to assist students to reaching their academic, professional, and personal goals.
Strong interpersonal, verbal, and written communication skills.
Sensitivity to handling of private information, and ability to keep confidentiality and adhere to FERPA.
Ability to work effectively with students, faculty, and staff from diverse backgrounds.
Outstanding organization, with attention to detail and the ability to prioritize multiple responsibilities.
Demonstrated ability to handle concurrent projects, meet deadlines, and work independently with moderate supervision.
Availability to occasionally flex hours, offsetting some daytime hours with evening hours.
JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception.
