Summary of Duties:
The Assessment & Learning Design Specialist, Year 3 & 4 will plan, organize, and coordinate operations for the Assessment program by supporting faculty in the design, development and delivery of the medical school curriculum based upon best practices. The incumbent will support faculty and administration with course design and instructional approaches to ensure students meet desired learning outcomes.
The incumbent will work closely with faculty, staff, and clinical campus locations to ensure all aspects of the MD Program (curriculum and assessment) are coordinated consistently across the distributed campuses and clinical locations, including schedules, Curriculum Management systems (CMS) and learner dashboard.
This position will specifically support all four years of the coaching program and the assessment requirements in Years 3 and 4 of the curriculum which include the Longitudinal Integrated Clerkship and all Year 4 clinical and non-clinical courses, ensuring compliance with WSU and LCME standards and regulations per FERPA.
Duties and Responsibilities:
40% Program Assessment Leadership
Provide leadership, information, and technical assistance to the faculty and course teams in the design, development, and execution for the program of assessment of the Years 3 and 4 of the MD Program.
Assist faculty with the design, development, and modification of clinical assessments and assignments to ensure accurate information is used to assign grades.
Supports the design and development of assessment instruments to ensure alignment between the curriculum delivered and assessment for and of learning.
Support course teams in the implementation of CQI efforts based on course and teacher evaluations.
Provide guidance to faculty in assessment methods most appropriate for the learning objectives being taught/competency being measured.
Manage the course and individual student dashboards alongside the Years 3 and 4 data analyst. Management to include consultation with faculty, design, analysis based on feedback, distribution and training as well as continued consultation for further updates.
Serve as point of contact for student queries in Years 3/4 regarding assessments, assignments, their progress in the course, as well as information and technical assistance regarding the program.
Develop and execute training to small group facilitators.
Collaborate with Course Directors to obtain information required for student assignments in the Learning Management System.
Collaborate with the Curriculum Specialists in the Office of Curriculum to ensure alignment between instructional curriculum and assessment, and the management of outcomes for all courses.
Assist faculty with utilization of Learning Management System.
Develop materials and training sessions to support the work of the Clinical Competence Panels in Years 3 and 4.
Protect student private information and serve as a role model for assuring student confidentiality.
Participate in all efforts to support the College's mission to continuously improve the MD Program via guidance to faculty and other stakeholders.
30% Student Performance Analysis and Intervention
Identify and develop interventions for students who are off track with progress. Develop interventions via consultation with course director, the clinical coaches and/or the Associate Dean.
Support the development and execution of personalized remediation plans for students.
Identify and follow up on students experiencing academic difficulties and incomplete or missing assignments or assessment items.
Manage the day to day operations and consultation of the Clinical Portfolio Coaching program.
Prepare documentation, analyze performance and provide feedback related to student progress in all 3rd and 4th year courses to students and applicable faculty.
Initiate meetings to support targeted skills development or remediation.
Track professionalism concerns that arise for students and communicate patterns identified to appropriate Assessment and Student Affairs personnel.
15% Assessment Administration and Records Retention
Analyze students' learning experience and outcome results and report out to all stakeholders on the achievement of these learning experiences and outcomes.
Ensure the validity of all assessment instruments used by coordinating the assessment approach.
Collaborate with the Year 3 and 4 coordinators at all Regional campuses to ensure the assessment schedule can be operationalized appropriately at all regional campuses and ensure all clinical faculty are in the WSU system to ensure compliance with LCME requirements.
Work with the Year 3 and 4 data analyst and the Associate Dean to ensure comparability in experience and achievement of student outcomes across all Regional campuses. Identify and resolve inconsistencies.
Facilitate the management of educational records to support the requirements of Student Promotions, Evaluation and Awards Committee (SPEAC) work.
Support the Faculty Senate approval process for courses developed; ensure relevant stakeholders are apprised of the process status.
Monitor the Years 3 and 4 grading committee's decisions around student grades, ensuring compliance with WSU and LCME accreditation requirements and standards for ongoing feedback to students.
Maintain records and inventory of assessment information and grades, and compose written communications on behalf of the Course Directors and the Assessment Office.
10% Compliance and Reporting
Collaborate with Clinical Education Directors and Associate Deans for Clinical Education to provide support related to the quality assurance of the course and assessment methods.
Track, evaluate, and report back to faculty and course teams on course outcomes.
Conduct all responsibilities within established protocols per FERPA. Promptly report any concerns to appropriate parties.
Evaluate concerns, identify solutions, propose and implement recommendations.
Develop, maintain, and enhance reports required to the AAMC, College, University, and other stakeholders.
Oversee assessment program compliance which is managed by the Assessment Specialist.
Maintain electronic files and records in compliance with university record retention policies and procedures.
Perform other job related duties as needed
A Master's degree and two (2) years of professional experience that has included designing and facilitating learning opportunities for diverse groups, educational assessment, maintaining learning environments and communities (may or may not be technology enhanced), and best practices in teaching and learning.
Experience in assistance, support, or coordination in the areas of assessment (or similar program) or other activities in a higher education, healthcare or equivalent setting.
Demonstrated experience with MS Office Suite and Adobe.
Working knowledge of Learning Management Systems (LMS) or similar database experience.
Demonstrated effective communication skills, in both information and formal settings.
Demonstrated experience executing established process flows.
Ability to organize, track, monitor and follow up on multiple tasks in a prioritized manner.
Experience in Postgraduate and/or Undergraduate Medical Education.
Experience in higher education.
Experience using statistical software such as SPSS, R and PowerBI
Experience evaluating statistics
Experience developing workflows and processes
Experience assessing programs and implementing identified improvements to process.
