Summary of Duties:
The program assistant will provide administrative and operational support to the onboarding and clinical placement programs for both undergraduate and graduate programs.
Onboarding Support - 40%
Provides support for onboarding team, assisting with graduate and undergraduate student and faculty clinical placement onboarding. Includes uploading documentation received into the tracking software.
Provides support to the undergraduate and graduate coordinators by tracking student progress
Responds to general questions from clinical site personnel to resolve concerns or issues.
Redirects complex questions to the appropriate coordinator.
Clinical Placement Support - 40%
Provides clinical placement scheduling support to undergraduate and graduate coordinators.
Coordinates and provides support clinical placement events including preceptor trainings and site visits.
Records Retention - 10%
Updates and maintains student and clinical faculty records in physical and electronic files.
Monitors and processes clinical site evaluations.
Project Assistance - 5%
Provides support to the Assistant Dean for Clinical Affairs on projects that arise.
Other - 5%
Acts as a staff resource to assigned faculty curricular committees or task forces.
Facilitates communication and promotes a positive working relationship between college, student affairs, clinical affairs, and university units.
Corresponds with students and faculty to ensure timely progression to graduation
Performs other duties appropriate to the position as assigned
High school graduation or equivalent AND two years of full-time clerical experience OR equivalent education/experience.
Demonstrated experience in customer service.
Demonstrated interpersonal, written and oral communication skills.
Demonstrated proficiency with Microsoft Office Outlook, Excel, and Word.
Experience at institute of higher education within a student support role (including student recruitment and retention, academic support or experiential coordination).
Demonstrated ability to work collegially and collaboratively with diverse internal and external individuals and groups.
Ability to multi-task and work with frequent interruptions.
