The Graduate Program Coordinator (GPC) in the History of Art is responsible for the daily operations of the graduate program, assisting the Director of Graduate Studies (DGS), the Director of Undergraduate Studies and serving as backup for the Undergraduate Program Coordinator as necessary.
History of Art is a diverse intellectual community dedicated to excellence through research and teaching. The department maintains a PhD program of approximately 35 graduate students. The GPC is responsible for all phases of the graduate admission process from application to admission and administratively supports the Admissions Committee throughout the process. This position is responsible for managing the budgeting, accounting and financial transactions relevant to the graduate program; tracking financial commitments to graduate students and presenting funding options to the Graduate committee, and, in consultation with the DGS, for hiring and supervising approximately 10 GSIs per term. This position enters and tracks tuition-only fellowships (in compliance with Continuous Enrollment), other departmental tuition, stipends and benefits. The GPC is also responsible for maintaining comprehensive and up-to-date records for prospective, current, and former PhD students; maintains demographic data and provides pattern analysis of enrollment trends and graduate application trends; prepares annual student review materials and consults regularly with the DGS regarding student progress and time to degree. In addition, the GPC keeps an annual calendar of events pertaining to the graduate program and prepares dossiers for external fellowships that graduate students are applying for. The GPC is responsible for administering Departmental, LSA & Rackham policies for faculty, staff, students, and prospective students. Since the GPC serves an integral member of the History of Art administrative team, the incumbent must have the ability to prepare complex and confidential written materials and correspondence, as well as the ability to effectively collaborate with faculty, students, and staff. This position may have the option to participate in reduced summer hours.
Graduate Program –
Oversight and coordination of Graduate admissions process
Answer prospective applicant inquiries
Oversee collection of applications from Rackham secure site
Support admissions committee
In collaboration with Department Communications Coordinator, periodically updates aspects of the History of Art website that pertain to the graduate program
Responds to inquiries by prospective students or directs them to relevant faculty
Inform applicants of admittance decision at the discretion of the admission committee
Process admission decision in wolverine access
Takes notes during Graduate Committee meetings
Keeps students informed of deadlines and changes in policies
Organize and plan recruitment weekend
Design and delivery of new student orientation
Process graduate student financial aid and benefits
Prepare of annual Rackham Block Grant Reports
Track graduate funding using M-Pathways and other electronic resources
Implementation of the LSA Graduate Student System data base for electronic tracking of graduate student milestones/progress
Work with DGS to develop budgets and forecasts
Process GSI appointments, working with department administrator and LSA Shared Services
Preparation and delivery of timely notification about scholarship/fellowship opportunities and job placement information
Organization of and participation in various Committees, Groups, Meetings and Events
Provide regular reports about all aspects of the History of Art graduate students
Schedule and administer language exams, preliminary exams and dissertation defenses
This position will also be a backup to the Undergraduate Program Coordinator and will be expected to be able to demonstrate knowledge of the following areas:

Serve as departmental contact for class and special room scheduling
Enter course descriptions in LSA course Guide
Coordinate course evaluation process
Declare concentrators and minors via LSA Advising System
Facilitate CARF process
Monitor/track UG progress for concentrators/minors
Associate's degree or equivalent with a minimum of four to five years progressively responsible experience with student services. Excellent interpersonal, written, and oral communication skills. Ability to work effectively and sensitively with a diverse group of students, faculty, and staff. Demonstrated ability to handle sensitive and confidential materials and situations. High level of proficiency with information technology applications including: spreadsheets, database development and management, word processing, and web management. High level of critical thinking, problem solving and decision-making. Must be a self-starter; have excellent organizational skills; demonstrated ability to set priorities, handle multiple assignments and deadlines; and excellent judgment while operating in a flexible and highly professional manner. Demonstrated ability to work in a team environment as well as work independently with minimal supervision. High degree of attention to detail and accuracy. Ability to handle and resolve conflict. Initiative and desire to identify opportunities for changes to processes, procedures and duties, and willingness to assume additional responsibilities. Ability to work remotely, if required, including practicing good meeting etiquettes, maintaining productivity, communicating clearly, and making oneself visible at work, and connecting with teammates.
Bachelor’s degree, along with experience of UM, Rackham Graduate School and LSA Policies and Procedures. Experience with graduate admissions process, Rackham electronic application software and knowledge of LSA and Rackham Graduate School policies and procedures along with M-Pathways experience.
The target salary range for this position is $43,000-$53,800 full-time. The actual salary offered may be higher based on the qualifications and experience of the selected candidate.
