The Office of Undergraduate Admissions is seeking a Senior Visitor Center Coordinator who will report to an Admissions Officer and will serve as the lead member of the Visitor Center team. They will be responsible for communications with the public, interacting with both the Admissions Office and serving as a representative for the University Visitor Center. This individual will supervise 1 additional member of the Visitor Center team and 10-20 visitor center student workers and must have strong oral, written communication, and organizational skills.
Specific Duties & Responsibilities:
Visitor Calendar Management
Work across staff and teams to establish a visitor calendar (Director of On-Campus Programming, Senior Assistant Director, Events Team, etc.) for both virtual and in-person daily events
Maintain updates on phones and web as needed for bad weather or emergency closures
Create admissions officer on-call calendar for daily on-campus and virtual programming with Senior Assistant Director
Anticipate large volume visitor days and coordinate additional space reservations as needed
GotoJHU Email Account Management
Maintain general admissions email account
Create schedule for team members who will be assisting with responding to account
Work with the Marketing and Communications and On-Campus Programming teams to ensure templates are up to date
Serve as admissions representative at front desk
Create staffing schedule for front desk
Coordinate ordering of publications as needed for lobby with Marketing and Communications team
Work with Custodial and Maintenance to keep lobby in well-kept condition
Answer phones for main admissions line
Create staffing schedule for phone
Coordinate training with teams across office to ensure information being relayed to families is accurate and up to date
Supervise Student Workers (10+ each semester)
Hire necessary student workers each semester and during the summer
Create a student schedule for front desk, phones, and information sessions
Train student workers on essential Visitor Team functions, including staffing the front desk and phone lines, providing campus tours, and more
Assist with managing Blue Key Society, the student organization that assists with all admissions
eventsManage, train, and provide mentorship to two Blue Key Society Student Coordinators who assist in schedule creation and management of the Visitor Center
Member of Various Working Groups Related to Daily Programming and Events
Tasks as needed to assist with major events for the Admissions Office
Organizing daily events, in addition to traditional programming
Coordinate group tours for high schools and community-based organizations (CBOs), including scheduling tour guides and admissions officers and all other logistics related to a visit (parking, catering, etc.)
Work with Access and Diversity Working Group on creating and executing programming for CBO visits
Serve as Liaison with Events Services Using 1st and 2nd Floor Spaces of Mason Hall
Manage relationships with events services in collaboration with the internal admissions special events team
Respond to requests for using the auditorium, conference rooms, etc.
Assist when appropriate
Identify areas where changes need to be made related to the visitor experience (directions, visit calendar, common questions, etc.)
Assist in the creation of a walking/virtual tour for the website
Coordinate Accommodations for Families Requesting Mobility or Accessibility Accommodations
Work with vendors to find interpreters if needed
Coordinate with tour guide supervisor for families who need accessible tours
Manage 1 additional full time Visitor Center Team Member
Manage TLC employees as needed
Minimum Qualifications (Mandatory):
High School Degree/GED required, Bachelor's Degree preferred.
Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
5 years related work experience required.
Must be able to stand for at least 3 hours at a time, and ability to lift and carry boxes weighing up to 25 pounds

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
