Dept Marketing Statement Colleges, Housing and Educational Services (CHES) is a multi-funded organization within the Business and Administrative Services (BAS) division at the University of California (UC) Santa Cruz. CHES provides leadership in the areas of college student life and residential services, housing services, facilities, employee housing and capital planning, dining services, conference services, early education services, the Bay Tree Bookstore, ID card services, and business and financial analysis for these areas. Through these units, educational and developmental programs and services are offered to all members of the campus community including students, faculty, staff, children and external constituents.
CHES provides on-campus housing and dining services to nearly 9,500 undergraduate and graduate students in ten residential colleges and six multi-college affiliated residential communities which support single students and students with families. Employee housing is provided through 51 rental units at the Laureate Court apartments and 188 for-sale homes in four different locations. The unit also provides off-campus student housing support and summer conference operations. CHES manages the auxiliary services units of the Bay Tree Bookstore and ID card services and offers Early Education Services for student parents.
Under the general supervision of the College Programs Coordinator, the Assistant College Programs Coordinator will provide administrative and general program support to the College Programs Office(s). Assist to students and student groups regarding policies and procedures for implementing student events, etc. Assist with supervision of student programs staff. Support Orientation and Move-In, Welcome Week, College Nights, Commencement, and other college-wide programming.

Job Duties 70% - Student Activities and Programs
Participates in planning and implementation of college-wide events for diverse populations.
Assists in development, planning and implementation of a wide variety of activities in line with the curriculum of the college, involving students in the activities planning process as appropriate. Acts as a resource person for planning, publicizing, and implementing activities and programs organized by students of the college(s) and registered student organizations who seek to cosponsor activities in the college(s). Assist with coordination of admissions/outreach programs as needed.
Attends and oversees some evening and weekend events to ensure compliance with campus policy and contractual events; act as College contact in emergencies.
Ensures the timely publication of announcements about College events... Assist with the creation of flyers and other promotional materials for college events.
Purchases needed items for college activities. Works with vendors and service providers to fulfill needs for college activities.
Assists with the development and maintenance of the college programs web pages, and social media platforms Maintains a photo database with current print-ready photos of students, staff and events. Utilizes Adobe Suite to create professional level publications.
30% - Core Function: Administrative Support
Supports all administrative functions of the College Programs Office.
Provides in-person and virtual service to students, staff and public.
Maintains calendars and schedules.
Assists in the creation of a variety of publications and social media postings as needed; maintains the Programs website and supports Programs social media.
Plans, organizes, and manages duties of student staff including the day-to-day operation of the office and student program development.
Assists in the hiring and training of student staff. This includes Programming Assistants, and College Guides/Orientation Leaders/Welcome Leaders/volunteers. Maintains student personnel records including timesheets.
Maintains and organizes office supplies, inventory, surplus and key control.
Assists with maintaining budget, as needed.
Excellent related administrative/clerical and customer service skills with knowledge of standard office procedures and equipment.
Experience with computer and web applications including Google suite, Word, Excel, calendar programs, graphics software, e-mail, social media, and computer skills to develop publications in desktop publishing
Demonstrated organizational and record keeping skills with the ability to prioritize and work independently, under the pressure of multiple competing deadlines and with frequent interruptions.
Excellent interpersonal skills, (verbal and written), with demonstrated effectiveness in interacting with individuals of various social, cultural, economic and educational backgrounds.
Ability to handle confidential matters in a sensitive and professional manner.
Ability to work in a professional manner with performers, musicians, and sponsors, assessing technical needs, developing work plans and providing technical support for the production.
Ability to assimilate from oral and written sources a broad knowledge of campus policies and procedures and apply them consistently.
Demonstrated experience supporting the needs of diverse populations
Artistic and graphic design ability sufficient to create flyers, brochures, and handbooks in applications such as in Design.
Experience working with students in an educational context
Ability to troubleshoot equipment or technical problems as they arise.
Selected candidate will be required to pass a pre-employment criminal history background check.
Ability to lift 15 pounds with or without accommodation.
Must have the ability to perform work overhead, including the ability to work from a stepladder or ladder.
