The Assistant to the Director, School of Nursing and Allied Health serves as the office and student services manager on an assigned campus. The Assistant provides advanced and diversified administrative support for the Office of the Director and for matters related to the School's programs and interactions with faculty, staff, students, the university community, accrediting agencies, clinical facilities and the community-at-large. As office and student services manager, assures quality control in the delivery of these services.
The major responsibilities for this position include: providing assistance to the Director in supporting the School in the growth and development of its undergraduate, graduate and doctoral programs, community partnership and hospital programs and initiatives including grant writing and professional development programs; registering students for classes during the regular registration period during fall, spring, Wintersession and summer semesters; providing limited advisement regarding classes and schedules when faculty advisers are not available; communicating office policies, procedures and practices to students, university personnel, and the community-at-large; initiating, coordinating and monitoring record keeping procedures and various activities related to programs, faculty and staff, students and alumni; recommending, maintaining and monitoring the School's budget; monitoring and maintaining the School's payroll; managing confidential information related to faculty, students and staff according to HIPAA regulations; researching information and serving as the School's liaison to other schools and departments at the university, clinical agencies and accrediting bodies for the non-academic matters and concerns related to the operation of the School; interviewing and selecting candidates for secretarial and student staff and recommending candidates for hiring to the Director; supervising and coordinating the work of the secretarial and student staff; communicating with the School's faculty and staff to ensure understanding and compliance with policies and procedures of the School, College and University; developing and overseeing the implementation of office policies and procedures for the School; and acting as a liaison between the School and Enrollment Services. The Assistant to the Director manages the student services of the School of Nursing from the undergraduate to the doctoral (DNP) Program. The incumbent is also responsible for coordinating course scheduling, maintaining faculty and student records for the School, scheduling faculty advisement and meetings; resolving issues of students and parents related to the programs and referring unresolved ones to the Associate Directors and the Director; completing purchase requisitions for supplies and resource materials; and data management, analysis and reporting.
The Assistant to the Director is expected to work independently and collaboratively on day-to-day tasks and special short- and long-term projects, as assigned by the Director, and to assume a leadership role in carrying out such projects. This position reports to the Director, School of Nursing and Allied Health.
1.Bachelor Degree or equivalent related work experience.
2.A minimum of two years administrative work experience, preferably in an academic work environment, working with faculty, students and staff. Office management experience and/or certification in office management preferred.
3.Experience in budget management with the ability to perform analysis of financial and budgetary data.
4.Excellent interpersonal and oral and written communication skills with proficiency in written and spoken English. Pleasant and competent telephone manner.
5.Proficiency in the use of computer systems for database management, spreadsheets, word processing, internet, and e-mail.
6.Ability to manage sensitive issues with decorum and confidentiality.
7.Well organized, independent and collaborative in carrying out responsibilities.
8.Employment is contingent upon a satisfactory background check. Candidates for hire will be required to sign a waiver authorizing the background check and produce a Social Security Card.
