Program Assistant I - Dean's Office, Statler College 17051
The Dean's Office in the Statler College of Engineering and Mineral Resources at West Virginia University is seeking applications for a Program Assistant I. This position will be responsible for providing detailed and complex assistance to the supervisor for the Student Services Office as well as coordinating office functions and activities, maintaining student records and working on special projects.
In order to be successful in this position, the ideal candidate will:
Coordinate, schedule and plan special events (Weekend of Honors, Commencement, Order of the Engineer, etc.) for the Benjamin M. Statler College of Engineering and Mineral Resources.
Help with record keeping for the Statler's College Grand Challenges Scholars program.
Assist with ASEE survey, US News surveys, etc.
Coordinate with Dean's office to publicize Dean's/President List Dean's Certificate (print/mail).
Coordinate the distribution of the honor awards and cords, coordination with Dean's office to publicize Dean's Certificate.
Bundle outgoing mail according to funding source, stamped mail, and campus mail. Sorts incoming mail for the ESB.
Survey Administration of the Graduating Students for the Statler College's Career Resources Center .
Provide knowledge of and proactively provide referrals for campus services as needed (e.g., advising, career services, financial aid, registrar, academic conflict protocols) at the counter for walk-ins.
Assist with the development, implementation, monitoring, and revision of policies and procedures relating to the student services area.
Transfer paper files to electronic [have about 15+ years at the GR level].
Interact by telephone, in person, virtually via Zoom or Teams, or by email with various outside entities as well as University personnel.
Pay Grade: 12
Associates degree in a related field, or an equivalent combination of education and experience. Bachelor's degree preferred.
Six (6) months of experience working with Microsoft Office suite including Access.
Six (6) months of experience in higher education academics and/or event planning.
Proficiency in the Microsoft Office suite, including Access.
Knowledge of office methods, procedures and protocol, along with thorough knowledge of correct English, grammar, spelling, punctuation, and sentence structure.
Ability to utilize student information systems.
Ability to research and interpret University policies and procedures.
Must be able to communicate well and work with a variety of constituencies.
Excellent organizational skills.
High degree of integrity, ethical practices, tact and ability to be direct and influence others while remaining diplomatic.
