General purpose: The Associate Director of Admission Operations & Communications is responsible for managing the daily operation of admission communications and processes, systems and technology, reporting, and records functions within the Admissions department. The Associate Director supervises a team of full- and part-time admission operation and communications staff.
Essential Duties & Responsibilities:
Work closely with the Executive Director to develop and deliver best practice systems, technology, and operations to fully support successful recruitment and admission for the undergraduate office
Manage staff specializing in admission operations, technology and software, and communications for prospect through enrolled students; hire, train, motivate and evaluate staff
Provide oversight of timely processing of online applications and application materials, reporting and admission communications, and physical and electronic mailings
Utilize systems and reporting tools to maintain records in admission related systems (such as CRM, Airtable, etc), as well as interfaces between systems and data (e.g., purchased lists, test scores, data feeds, Student Information System)
Develop standard and ad hoc statistical and analytical reports; provide trend data for analysis and assist the Executive Director in compiling and developing trend information for prospect through enrolled students
Evaluate admission operations and systems regularly to ensure best practice and data integrity standards; manage system changes and test systems upgrades as needed
Serve on campus committees as assigned, and maintain proactive and strong relationships with campus business offices such as Technical Support Services, Enrollment Services, and Graduate Admissions
Perform other duties as assigned
Knowledge, Skills, and Abilities
1-2 years of professional experience performing data analysis and reporting in relational databases, and comprehensive knowledge of Microsoft Office Suite
1 year of supervisory experience
Advanced reporting skills and/or SQL or other data mining and analysis tools
Strong analytical skills and ability to synthesize and present complex data to management
Excellent management abilities and the judgment and confidence to successfully make and implement decisions
Ability to work well with a diverse group of individuals
Education: Bachelorâs degree in a related field
Demonstrated record of using statistics and technology in developing and implementing operations and procedures.
Proven leadership ability and skills
5 years of staff and database management
Experience with admission and student information systems such as Slate, Peoplesoft, Airtable
Experience with admission application and prospect sources and processing, such as CommonApp, standardized score reports
Innovative use of technology in building and analyzing recruitment related data
Reporting to this position: CRM Manager, Admission Operations Specialist, Records Coordinator, part-time Data Entry Clerks (2-5)
