Dept Marketing Statement The Division of Graduate Studies is a strategic unit at UCSC; working closely with academic divisions and departments, the Division of Graduate Studies leads the campus effort in graduate student outreach, admissions, and matriculation. UC Santa Cruz graduate enrollment is approximately 1975, with over 60 degree tracks in over 40 graduate programs. Involves a wide range of student services duties and responsibilities for an academic department / school / college or organization. Provides assistance to the dean / chair, faculty, and students in academic advising, recruitment, admissions, financial aid, the evaluation and awarding of fellowships and block grant funds, student orientation and events, career counseling, and related programs.
Under direction of the Assistant Dean of Graduate Studies, incumbent provides administrative oversight and support to the Division of Graduate Studies in the areas of student records, degree progress, and enrollment data management. Incumbent helps to develop programs and business processes to optimize the handling of graduate student support in service of the retention of our graduate students and timely completion of their graduate program. Incumbent serves as campus liaison to Postdoctoral Scholars and Academic Student Employees.
Pay, Benefits, & Work Schedule Salary Information: $22.27 - $29.98/Hourly. Salary commensurate with skills, qualifications and experience.
Enters Academic Information Systems graduate student data.
Responsible for processing Ph.D. Qualifying Exam forms.
Maintains graduate student records.
Responsible for quarterly reconciliation of graduate enrollment reporting.
Processes Advancement to Candidacy forms.
Revises current graduate student-related administrative forms and handbooks, as needed.
Administers fee deferments and Teaching Assistant loans.
Processes Intercampus Exchange requests and Child Care reimbursements.
Processes requests for Course Assistants and Exceptions to Policy.
Prepares probation and dismissal letters approved by the Vice Provost and Dean of Graduate Studies (VPDGS).
30% - Graduate Student Finances
Assists with the administration, evaluation, and awarding of student fellowships, grants, scholarships, and other awards.
Assist in fellowship and tuition remission data entry in AIS.
Assists students on financial aid options of the organization and extra-mural fellowship opportunities.
Tracks external graduate fellowships and endowment accounts.
Holds Tier 1 signature authority for the Division of Graduate Studies.
20% - Graduate Studies Administration
Advise staff, students and faculty regarding University of California and UC Santa Cruz campus policies and procedures pertaining to incoming and current graduate students, as well as postdoctoral scholars.
Coordinates Division of Graduate Studies Commencement planning and implementation.
Prepares reports and correspondence, as well as directives that require the approval of VPDGS.
Serves as a campus liaison for both Academic Student Employees and postdoctoral scholars pertaining to United Automobile Workers of America (UAW) bargaining activities.
10% - Special Projects
Assist with special assignments provided by the VPDGS in consultation with the Assistant Dean of Graduate Studies.
Bachelor's degree in related area and / or equivalent experience / training.
Excellent research and analytical skills sufficient to analyze information and highly complex and multi-faceted problems and situations, and suggest and implement action plans.
Demonstrated experience in setting clear goals and objectives.
Administrative experience, including budgeting and financial management.
Excellent interpersonal and oral communication skills.
Writing skills sufficient to prepare correspondence, reports, and proposals with speed and efficiency.
Ability to work in a team situation effectively, cooperatively, and with flexibility.
Demonstrated ability to handle a heavy workload with frequent interruptions and changing priorities.
Ability to exercise discretion and judgment, and to maintain the security of confidential materials.
Demonstrated ability to work under pressure of deadlines.
Experience working with information systems in support of business processes.
Experience working with Campus Solutions student information system within a higher education setting.
Selected candidate will be required to pass a pre-employment criminal history background check.
