Manage registrar operations including enrollment services, academic planning, information and records management and training
Reporting to the Registrar for the Division of Continuing Education (DCE), the Associate Registrar manages all course registration operations for Harvard Extension School (HES) and Harvard Summer School (HSS) and determines how best to implement new enrollment policies and procedures into SIS and online registration systems. The Associate Registrar serves as a key member of the Registrar¿s senior management team and works closely with division leaders in Academic Administration, Degree Programs, Student Financial Services (SFS), Special Programs, and Enrollment and Retention (E&R) to define registration requirements and processes for new programs, courses, and educational partnerships. This position also serves as a functional lead in technology projects and upgrades affecting registration and student record systems and applications.
Specific responsibilities include:
Leads registration and enrollment operations for Harvard Extension School (1,000+ courses and 16,000+ students) and Harvard Summer School ( 500+ courses and 9,000+ students)
Develops registration processes for open, limited-enrollment, and special program courses and integrates new course and programs offerings into registration operations with eye towards scalability, flexibility, growth, and the dynamic nature of continuing education
Enforces registration and enrollment policies; manages registration restrictions and requirements governing maximum enrollment, time conflicts, prerequisites, waitlists, and special approvals; ensures consistency in policy application across various terms, programs, and student processes in support of scalability and academic integrity
Recommends improvements to streamline course registration, improve student service, increase efficiency, and expand automated processing; writes technical specifications for revisions and enhancements to SIS and registration applications; works with Registrar¿s Office QA team and MIS programmers to implement and test new processes
Oversees and manages the Registrar¿s Office registration and records units (a team of five); responsible for effective staff management, including hiring and orientation, training and development, workflow and performance management, and the promotion of an inclusive and innovative work environment
Collaborates with Registrar's Office senior management team in planning for all aspects of registration, courses, calendars, communications, and project and policy implementations
Collaborates with SFS on integrated registration and payment operations; collaborates with HES and HSS Academic Deans, program and E&R directors on enrollment policies and regulations; advises broader faculty, students, and staff regarding registration-related records and enrollment processes and procedures; provides ongoing training and documentation
Leads discovery and implementation of changes and functional improvements to Banner SIS and student self-service applications relating to registration and records; advises Registrar's Office and DCE staff of roadblocks related to achieving policy changes in SIS; troubleshoots unforeseen challenges and brainstorms potential solutions
Ensures compliance with DCE policies as well as federal, state, and University-wide regulations

The Harvard Extension School, the Harvard Summer School, the Harvard Professional Development Programs and the Harvard Institute for Learning in Retirement allow Harvard to serve the learning needs of students across their life. Harvard Summer School offers approximately 450 courses on the Harvard Campus to 10,000 secondary school, college and adult learners and more than 30 international study abroad programs for up to 600 students each summer. The Division also includes the Harvard Institute for Learning in Retirement with approximately 550 active members and Harvard Professional Development Programs offering 80 short noncredit courses to almost 4,000 learners annually.

Bachelor's degree or equivalent work experience required
Minimum of 7 years relevant work experience
Master's degree preferred
Previous supervisory experience. Ability to mentor staff and build/lead strong teams. Experience working in continuing education, higher education administration, and/or a University Registrar's Office.
Strong database administration and report writing experience, preferably with Banner SIS. Experience with variety of student registration and relationship management tools and software, preferably including Salesforce CRM and Courseleaf PATH. Aptitude for learning and applying new technology applications essential
Ability to think analytically and strategically. Ability to manage multiple competing priorities effectively and efficiently and to coordinate inter-departmental processes/procedures
Excellent interpersonal, organizational, and communication skills. Ability to build strong, collaborative, and productive relationships across diverse constituencies. Proven ability working in a complex organization and making informed decisions in the context of organizational goals and policies.
Ability to handle complex and confidential information with discretion. Previous experience in positions requiring strong judgment/decision-making.
Knowledge of federal, state, and University regulations.
