To maintain efficient operation of the Department and integrity of student records. Organize, monitor and maintain all current and historical student records and files pertaining to pre-registration/registration processes, class list (roster) verification processes and grade roster distribution. Assist with academic classroom scheduling; handle all inventory and replenishment of supplies; respond to inquiries from, and process data received by, the College community; screen, handle and/or route calls, as appropriate; and receive and distribute mail to the proper staff members or offices.
Duties and Responsibilities:
Organizes, monitors and maintains all current and historical student records and files.
Processes forms received from University community.
Assists with the academic classroom scheduling.
Handles all inventory and replenishment of supplies.
Responds to inquiries from the College community.
Screens, handles and/or routes calls, as appropriate.
Receives and distributes mail to the proper staff members or offices.
Performs other job-related duties, as assigned.
Strong working knowledge of the office operations, policies, procedures and standard equipment.
Working knowledge of administrative services and protocol, in an academic setting.
Working knowledge of computers and word processing and database software applications (e.g. MS Word, Excel).
Abilities and Skills:
Effectively organize, prioritize and handle multiple tasks to meet established deadlines.
Analytical, detail-oriented, accurate and flexible.
Ensure the consistent accuracy and timely updating of paper and computer database records.
Exercise sound judgment and decision making. Ability to work well with diverse populations.
Superior organizational skills. Strong oral and written communication, prioritization, interpersonal, and customer service skills.
Accurate data entry skills at a rate of 45wpm or more.
Bachelor's Degree Preferred.
Two or three years of secretarial/clerical experience working in a public relations service environment.
